Pickscan is a barcode-verified picking and packing system operated by Smartcode Ltd, a company registered in the United Kingdom. For anything in this policy, email hello [at] pickscan.app — Smartcode Ltd is the data controller for the personal data described here.
This policy covers this website, pickscan.app. The Pickscan apps you install on Shopify, Linnworks, Veeqo and other platforms process order and warehouse data on merchants' behalf; that processing is described in each app's own documentation and the terms you agree to when you install it.
The contact form. If you write to us we collect your name, email address and message. We use them for one thing: reading and answering your enquiry. Our legal basis is legitimate interest — you contacted us, and we'd like to reply.
The form is delivered as an email to our own mailbox. It isn't stored in any database of ours: the submission passes through a DigitalOcean serverless function, which relays it over an encrypted connection to our Google Workspace email. We keep the email for as long as the conversation needs, then as ordinary business correspondence.
Analytics. We use Google Analytics 4 to understand how the site is used — which pages are read, roughly where visitors come from, and what device they're on. Google Analytics sets cookies (such as _ga) and processes your IP address and browsing events on our behalf. We use this under legitimate interest to improve the site; we don't use it to identify you, and we don't run advertising.
Server logs. The site is served by GitHub Pages, which — like any web host — records standard request logs (IP address, user agent, page requested) for security and operations.
Some of these providers process data outside the UK (chiefly in the United States) under recognised transfer safeguards such as the UK Extension to the EU–US Data Privacy Framework or standard contractual clauses.
The only cookies this site sets are Google Analytics measurement cookies. Nothing here is needed for the site to work — you can block or clear cookies in your browser and every page still functions. You can also opt out of Google Analytics everywhere with the GA opt-out browser add-on.
Contact-form emails are kept as ordinary business correspondence for as long as they're relevant to the enquiry or a resulting business relationship. Google Analytics event data is retained for a limited period (per our Analytics retention settings) before it survives only as aggregate statistics. Host logs are kept by GitHub and DigitalOcean per their own short retention schedules.
Under UK GDPR you can ask us to access, correct, delete or export the personal data we hold about you, to restrict or object to our processing of it, and to withdraw consent where consent is the basis. Email hello [at] pickscan.app and we'll respond within a month. If you're unhappy with how we handle your data, you can complain to the UK Information Commissioner's Office at ico.org.uk.
If we change how the site handles personal data — a new analytics tool, a new form, a new processor — we'll update this page and the date at the top. Significant changes will be flagged on the page itself.
